ACE Election Procedures

As per the ACE Election Procedures and Guidelines, on or about June 15 of the election year, ballots reflecting the nominations, and providing for write-in votes for alternate candidates, shall be sent to all members in good standing with a valid email address on file. Returned ballots shall be completed online no later than July 15 to be valid. The bylaws set the number of votes at one for all membership types except multimember memberships (mainly Couple and Family memberships) that will receive two votes.

As during ACE’s last election in 2022, all voting will be done electronically. No ballots will be mailed or accepted by mail.  Multimember memberships will receive two emails with different voter registration codes.  The two emails will have unique voter registration codes and indicate they are either Ballot 1 of 2 or Ballot 2 of 2. Please ensure BOTH emails are used to vote. Efforts have been made to determine each voter’s name and email address where possible, otherwise the second ballot will go to the primary member’s email address with “The Family Member of Primary Member Name“ as the name on that ballot.

Ballots will only be emailed to members in good standing who have a valid email address. Note: If you have a spam filter for your email, it is suggested you set it to allow email from vote-now.com. Sending a blank email to elections@vote-now.com prior to the election should also allow you to receive emails from vote-now.com. ACE’s online voting supports all browsers; however, if you use a cell phone and (for example) jump to a candidate platform statement after voting for earlier candidates, your earlier votes may have to be reentered.

As in years past, members may enter anonymous comments about the election process after voting. Please have your email address attached to the comment only (not your ballot information) if you desire a response.

If you have a valid email address on file with ACE and have not received an emailed ballot link by June 27, please contact elections@aceonline.org. For the quickest response, please provide your name, ACE membership number and type, and a working email address to have a new ballot link email sent.

If you do not have a functioning email address on file with ACE, you will NOT receive an emailed ballot. To be able to vote, please leave a telephone message with the ACE management office (469.278.6223), providing your name, ACE membership number and type, and the best phone number and times to get in contact with you. If you have a valid email address, to have a ballot link email sent, please provide it and that will be used to contact you. If you do not have a working email address, please state that in your message, and you will be contacted by an ACE elections representative by phone who will provide the necessary information to allow you to cast your vote via phone.

Please be aware that during Coaster Con 48 (June 21-26) and its pre- and post-Con events, there may be a delay in response until the following week.
